Nonprofit Office Technology: How We Helped Olean Food Pantry Improve Tech Infrastructure

Nonprofits also must survive and thrive in the digital realm. They’re more than volunteers organizing 5K races and serving soup on a cold winter’s day. While missions like those do define them, they’re also legitimate organizations – like any other business – that rely on nonprofit office technology to function.

Olean Food Pantry is one of them. As one of the longest-running hunger relief nonprofits in Western New York, OFP has grown exponentially in recent years — but with that growth came urgent needs in evolving technology, security and operational efficiency.

In the ever-evolving digital world, nonprofits are expected to deliver more — serve more people, protect more data, and do it all with limited budgets and resources. For grassroots organizations like Olean Food Pantry, the pressure is immense.

That’s where Acme Business stepped in.

Case Study: Nonprofit Office Technology to Serve Community Missions

The following is a case study on how we provided new nonprofit office technology to help this special food-service organization to accomplish their vital community mission.

Meeting Mission with Modernization

Olean Food Pantry has been a pillar of compassion in the Southern Tier for over 70 years, distributing free food and essential supplies to families across Allegany, Cattaraugus and Chautauqua counties. But as economic hardship deepened post-pandemic, the need for OFP’s services more than doubled.

By 2025, they were serving over 2,000 food-insecure individuals each month.

For a volunteer-run nonprofit used to recording passwords on Post-It notes and using aging desktops and residential-grade technology, this surge in need exposed serious technological vulnerabilities.

Small nonprofits everywhere often experience:

  • Sluggish or crashing computer systems.
  • Difficulty managing Wi-Fi and devices.
  • Limited ability to track and secure client data.
  • Frequent printer and network errors.
  • Growing safety concerns and facility security incidents.

Despite their passion and commitment, OFP’s leadership knew they needed more than just volunteers and goodwill. They needed a trusted IT and cybersecurity partner to help build a digital infrastructure worthy of their mission.

Step 1: Identifying the Problem

The OFP Board of Directors engaged Acme Business to assess the facility\’s technology and security risks. Our team specializing in managed IT and cybersecurity conducted a full site evaluation, from wired and wireless networking to computer hardware, software and facility surveillance needs.

The findings were clear: Olean Food Pantry’s nonprofit office tech systems needed to be updated and optimized.

Most devices were running Windows 10, which Microsoft will stop supporting in late 2025. Their Wi-Fi was unstable, and critical client/donor data lacked proper protection. Meanwhile, safety concerns had grown after multiple onsite disturbances and attempted break-ins.

Step 2: A Phased Solution — Built for Budget-Conscious Impact

Acme designed a phased implementation to address OFP’s urgent needs, designed for affordability while ensuring long-term security and reliability.

Phase 1: Surveillance & Network Overhaul

The first step was physical and digital security. Acme Business installed:

  • 4K Reolink surveillance cameras with bullet and dome coverage.
  • A Network Video Recorder (NVR) and Ubiquiti switch for centralized data handling.
  • A smart firewall, PoE injector, and battery backup to ensure secure and consistent connectivity — even during WNY’s infamous weather-related power outages.

This phase immediately improved volunteer and client safety – both during and after hours – offering peace of mind in a high-demand environment.

Phase 2: IT & Cybersecurity Modernization

To build on this foundation, a second phase is planned to fully upgrade OFP’s core IT systems and cybersecurity tools:

  • SonicWall Z-270 firewall with 2-year security license.
  • Ubiquiti 24-port switch, wireless access points, and Cloud Key controller.
  • Full network cabinet cleanup and structured cabling upgrades.
  • SentinelOne Endpoint Protection on all workstations — our gold standard in small business cybersecurity.
  • Professional labor and configuration, all at a nonprofit-friendly rate

These tools follow the NIST (National Institute of Standards and Technology) framework, ensuring compliance and best-in-class digital protection.

Each of these tech elements were carefully laid out in detail to help Olean Food Pantry pursue grant funding to cover costs.

Why It Matters: Nonprofit Office Technology in Action

Let’s be honest, nonprofit office technology isn’t always a top priority for grassroots organizations. Tech is virtually invisible when it works well. But when it doesn’t, the consequences are real: missed grant deadlines, lost client records, productivity headaches, and exposure to devastating cyberattacks.

That’s why OFP’s leadership knew this wasn’t just an IT upgrade. It was an investment in mission sustainability.

As their Board President put it: “We’re not just feeding people. We’re responsible for running a safe, secure, and professional organization. Acme Business helped us see that our technology was a core part of our capacity — and now, we’re stronger because of it.”
